CANCELLATION AND REFUND TERMS & CONDITIONS 

Accommodation  

For accommodation cancellation policies, please refer to the individual hotel policies noted on the website. Any amendments to original hotel bookings must be forwarded via email to the Meeting office. Verbal changes or cancellations cannot be accepted nor will the hotels accept any changes advised to them directly. 

Voluntary Cancellation  

Cancellation of a registration must be advised via email to the Meeting OfficeVerbal changes or cancellations cannot be accepted.   

Should you decide to cancel your registration; the following refunds will apply from the date of receipt of notification:   

On or before 14 February 2023 100% refund less an administration fee of $110 including GST
On or before 14 March 202375% refund less an administration fee of $110 including GST
On or before 18 April 2023 50% refund less an administration fee of $110 including GST
After 18 April 2023 No refund is available although registration may be transferred to another individual

Refunds will be returned by the same payment method as the original receipt of funds. No refund will be made after Tuesday 18 April 2023 however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.  

Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event.   

Optional social event tickets may be cancelled on or before Tuesday 18 April 2023 and will be refunded in full by the same payment method as the original receipt of funds. 

In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered upon application by and at the discretion of ASOFRE , with all decisions being final.     

Meeting Cancellation or Postponement

ASOFRE may cancel or postpone the Meeting due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the Meeting.  

In the event the Meeting is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration and you will be refunded any difference in registration rates. If you choose not to attend the virtual Meeting, ASOFRE will not be required to refund any part of the Conference registration fee.  

In the event of a full cancellation of the Meeting by ASOFRE, you will be entitled to a full refund of the amount of the Meeting registration fee received.  

The maximum liability of ASOFRE under these Terms and Conditions is limited to a refund of the Meeting registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.   

Delegate Cancellation Medical 

If, on medical grounds, you are unable to attend the Meeting, you must cancel your attendance in writing by email to the Meeting Office and a refund may be provided at the discretion of ASOFRE, however you may be asked to provide additional details.  

Insurance 

Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. The Organising Committee and the Meeting Office accept no responsibility for any loss in this regard.  

Tax 

All Meeting registration fees and additional ticket rates are quoted in Australian Dollars. GST at 10% is included. 

Disclaimer 

By registering, participants acknowledge and consent that during their attendance at the ASOFRE Meeting their image may be photographed and recorded by an officer or official photographer appointed by ASOFRE or may be distributed or published at the discretion of ASOFRE. If you do not wish to be recorded, you are required to formally advise the Meeting Office in advance by email.  

Privacy Policy 

If you interact with WALDRONSMITH Management as a client, member or as a meeting delegate, personal information about you may be held for the primary purpose of supplying you with information related to membership, conferences and events. This information is likely to include your name, contact details, address, payment details, telephone numbers etc. WALDRONSMITH Management has secure systems that stores this information and will not collect this information unless required to in undertaking services and functions associated with our ordinary business. In keeping with the provisions of the National Privacy Act, WALDRONSMITH Management is committed to the protection of the privacy of this personal information received during the ordinary course of business. If you are a visitor to our website and you provide personal information to our staff via this website, your personal information will be treated to the same privacy as other forms of communication. As an Internet user you should be warned that there are risks associated with transmitting information across the Internet. Cookies may be used on web sites. Users can set their Internet browser to refuse cookies but access to e-commerce areas may be impeded. 

WALDRONSMITH Management takes no responsibility to ensure that the Data is accurate, complete and up to date, particularly after the completion of an event. WALDRONSMITH Management takes reasonable steps to protect the Data it holds from misuse, unauthorised access, loss, disclosure or modification. Credit card numbers are encrypted. On completion of an event the information is given to the client and a back up copy is securely archived. It is anticipated that your key personal information will be subject to routine review by you when dealing with WALDRONSMITH Management. If you should find that any information is incorrect or obsolete you are encouraged to make contact with WALDRONSMITH Management and to authorise any necessary changes.
